Summary:

The Secretory is responsible for providing administrative support to the Executive Assistant. This includes a variety of tasks, such as:

  • Answering and directing phone calls
  • Scheduling appointments and meetings
  • Preparing and distributing documents
  • Managing email and correspondence
  • Organizing files and records
  • Handling travel arrangements
  • Providing general administrative support

Essential Duties and Responsibilities:

  • Answer and direct phone calls in a professional and courteous manner
  • Schedule and confirm appointments and meetings
  • Prepare and distribute documents, such as letters, memos, and reports
  • Manage email and correspondence
  • Organize files and records
  • Handle travel arrangements, such as booking flights and hotels
  • Provide general administrative support, such as running errands and making photocopies

Qualifications:

  • High school diploma or equivalent
  • 1-3 years of experience in an administrative or clerical role
  • Excellent communication and interpersonal skills
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently and as part of a team
  • Attention to detail and accuracy
  • Strong organizational skills
  • Ability to meet deadlines and work under pressure
  • Discreet and able to maintain confidentiality
